Clinical Operations
SmileCraft Flow · Vol. I · Clinical Ops

Clinical operations,
beautifully run.

Patient journeys, implant workflows, lab cases — every workstation on the same page. Built at The Dental Centre Bury for the rhythm of a real dental practice.

Section II

What it does, in six lines.

No fluff. The features the team actually uses every day.

Stacked workflow boards

Patient Journey, Implants, Lab Work, Referrals — multiple boards on a single page, reordered per workstation. Lab sees lab first. Reception sees the funnel first.

Workstation messaging

WebSocket chat between every workstation, with one-keystroke quick-send templates. MEDICAL EMERGENCY at the press of F1. Nurse support to Surgery 1 at F2.

One practice, every workstation

Reception 1 and 2. Surgery 1 and 2. Lab. Office 1 and 2. Scan Room. Each chooses its identity, sees the boards in the order that suits its work.

Overdue surfaces itself

Cases that have stalled in a stage rise to the top. Blocked cards mark themselves. The board does the watching so the team can do the work.

Visible time in stage

Every card carries the day count. Bottlenecks become obvious. Treatment planning becomes evidence-based, not anecdotal.

Designed for UK dental

Patient names sit in a separate AWS DynamoDB record. Scans and files in S3 (eu-west-2, London). Cards hold case IDs and initials only. GDPR, by design.

Section III

How a day flows.

01

Sign in and pick your workstation

One practice account. Each terminal picks its identity — Reception, Surgery, Lab, Office, Scan Room.

02

Set up your boards

Patient Journey Funnel, Implant Workflow, Lab Work, Referrals. Stages of your choosing, columns you can rename. Reorder per workstation.

03

Drag, message, watch the day flow

Move cards as patients progress. Send a Nurse-to-Surgery-1 message with one key. End the day with the audit log intact.

Section IV

Questions, answered.

What is SmileCraft® Flow?
A clinical operations platform for dental practices. Built at The Dental Centre Bury for the rhythm of a working practice — patient journeys, implant cases, lab work, referrals, and team coordination on a single screen, in real time.
How do the boards work?
Each board is a Kanban-style flow with columns you define. Drag a card from Intake to Consent Pending to Scheduled to In Treatment. Cards carry case IDs, status, tags, attachments, and an editable description. Every move writes an audit-log entry.
How does messaging work?
A live WebSocket panel opens from the bottom right. Pick a destination workstation, type, send. Use the quick-send templates for the things you'll send a thousand times — MEDICAL EMERGENCY, NURSE TO SURGERY 1, REFERRAL READY. Audio cues escalate the urgent ones.
Where is the patient data?
Cards in the app hold non-identifying labels — case IDs and initials. Full patient names live in AWS DynamoDB, separately scoped. Clinical files (scans, PDFs, photos) live in AWS S3, London (eu-west-2), with signed-URL access only. Designed for UK GDPR from the ground up.
Can multiple workstations use it at once?
Yes — that's the point. One practice account, many concurrent workstations. Each terminal selects its identity on first load. Messages are workstation-to-workstation. Board ordering is per workstation, persisted locally.
